Cancelation Update

-- UPDATE 7/11 --

Theater shirts and playbills are available to pick up at WWS on Tuesday July 14^th from 3:30 to 5:30 PM at the front of the school for all cast members that haven’t received their cast shirt.

--UPDATE 6/24 --

As we continue to prioritize the health of our community, we have come to the unfortunate decision to cancel our performance of The Little Mermaid Jr. We had hoped to reschedule the performance during the summer, but current state guidelines made it impossible to stage a production with an audience.

Please review these frequently asked questions for wrapping up the production:

Q: Will my actor registration fee be refunded since the performance was cancelled?

A: No. The PTA is a non-profit organization and we rely on ticket sales, concessions, and student fees to fund our theater program. While canceling the performance was necessary, two months of rehearsals had already been completed, and the PTA had already invested in many fixed costs including scripts, rehearsal staff, t-shirts, and playbills. The student fee was used to pay for these costs.

Q: Will my Stage Crew registration fee be refunded?

A: Yes. Since the play was postponed before Stage Crew convened, attended rehearsals, or performed any tasks, the Stage Crew registration fee will be refunded. Refund checks are in the mail.

Q: Will my playbill ad fee be refunded since the performance was cancelled?

A: No. The playbill was already printed and paid for before the performance was cancelled. We will distribute the playbills later this summer to all performers. Additionally, when school returns, we’ll send a playbill home with each student with a letter asking families to support our sponsors.

Q: When will my tickets be refunded?

A: A separate email will be sent to all ticket holders with details on how to choose to receive a refund or make a donation to the PTA.

Q: When will my child receive their t-shirt?

A: 6th graders received their t-shirts and a playbill in their promotion bag during the parade. All other students will be able to pick-up their t-shirt and playbill when the yearbooks arrive. We will send another email with distribution information soon.

Q: Will donated items be returned?

A: The large plastic bins that were loaned to the theater program, along with all other prop materials, are currently at West Woods School. The bins will be returned when the school re-opens. If you donated something else that you want returned, please let me know. Otherwise, I will assume that all donations besides the bins will be kept at school for use in future WWS theater productions.

Ticket Sales

Online ticket sales are suspended until we are able to reschedule the performances.

We are planning to apply all show tickets that have been purchased to the new show dates. Once we have a new date, we will work with purchasers to adjust tickets if needed. If the show is ultimately canceled, ticket purchases will be refunded. We will provide more details on this as soon as we receive guidance from the ticketing site’s customer service.

If you were able to make a donation, thank you! Donations from sold tickets covered almost all of our fees with the credit card processor of the ticketing website.

If you elected to receive a refund or did not respond to the survey, you should be receiving a check in the mail soon. Because the credit card charges were over 120 days old, Tix was unable to process the refund to your credit card. Instead, you will receive a check in the mail from Tix. Our account manager has informed us that the checks will be processed next week and will mail on July 17.

An email was sent to all ticket holders tonight with the following information:

TICKET DONATION AND REFUND INFORMATION

The PTA is a non-profit organization and we rely on ticket sales, concessions, and student fees to fund our theater program. While canceling the performance was necessary, the PTA had already invested in many fixed costs including scripts, rehearsal staff, t-shirts, and playbills. If you are able, we ask that you consider donating the cost of your tickets back to the PTA. In return, you will receive a tax deduction, and will help the PTA continue to fund enrichment efforts in the next school year.

Ticket holders have the following options:

• Donate your tickets, and receive a receipt of your tax deductible donation for the total ticket value
• Make a partial donation and receive a refund for the remaining amount
• Receive a full refund for the value of the ticket

Please fill out this form to make your selections by July 1. We will begin processing refunds the following week and ask for your patience as we have to work with the account manager of the ticketing site to process refunds. For now, we have set a temporary date in the ticketing system of June 27 & 28. This is merely a placeholder, not a confirmed date for the rescheduled performance.

Volunteers Needed!

WE NEED ADULTS to help backstage during the show! We will have Stage Crew kids, but we do need some adults to supervise and make sure kids get to where they need to be. We also need some adults to stay in the band room to supervise kids who are waiting for their turn to take the stage. You do NOT have to volunteer for both performances. Please sign up here.
